Refund Policy

Refund Policy for Paid Events - Updated 12.02.2025

  1. Purpose
    This policy outlines the conditions under which refunds are granted for paid events organized by KTH Outdoor Club (KTHOC). It aims to ensure financial stability while maintaining fairness for participants.

  1. Scope
    This refund policy applies to all paid events, including trips, workshops, and ticketed activities organized by KTHOC.

  2. Refund Conditions
    - Full Refund: If cancellation occurs at least 14 days before the event.
    - Partial Refund (50%): If cancellation occurs at least 7 days before the event.
    - No Refund: If cancellation occurs less than 7 days before the event unless exceptional circumstances apply.

  3. Exceptional Circumstances
    Refunds beyond the stated conditions may be granted in the following cases:
    - Extreme weather conditions leading to event cancellation.
    - Organizer cancellation or significant event changes.

  4. Refund Process
    - Participants must submit refund requests via email to the KTHOC board (events@kthoutdoorclub.se) at least two days after cancellation.
    - Requests should include the event name, and relevant documentation (if applicable).
    - Refunds will be processed within 14 days after approval.

  5. Non-Refundable Costs
    Certain costs are non-refundable, including but not limited to:
    - Third-party booking fees.
    - Prepaid transport or accommodation deposits (e.g. train tickets).
    - Any costs explicitly stated as non-refundable in event descriptions.
