Terms and Conditions for Membership and Events - Updated 12.02.2025

  1. Membership
    By becoming a member of the KTH Outdoor Club (KTHOC), you agree to adhere to the club's statutes and guidelines as outlined in the official documents, including but not limited to the Statutes of KTH OC, Refund Policy, and Subsidy Guidelines. Membership is available to full-time students and staff at KTH Royal Institute of Technology, as well as a limited number of alumni or students from other universities. Your membership will be valid for the academic semester, and renewal is required to continue as a member.

  2. Event Participation
    By attending an event organized by KTH OC, you acknowledge and agree to the following:
    - You are participating voluntarily and at your own risk.
    - You will follow all event-specific rules and guidelines provided by the event organizers.
    - If you have any health conditions or concerns that might affect your participation, you need to inform the event organizer beforehand.

  3. Photography and Use of Photos
    By attending any KTHOC event, you grant the KTH Outdoor Club permission to take photographs or videos of you during the event. These media may be used for promotional, marketing, or social media purposes, including but not limited to Instagram, flyers, and advertisements. If you do not wish to be photographed, you must explicitly inform the event organizer prior to or during the event. Failure to do so will be considered consent for KTHOC to capture and use your image.

  4. Refund Policy
    Refunds for paid events are subject to the KTHOC Refund Policy, which outlines the conditions and procedures for cancellations. Please refer to the Refund Policy document for full details.

  5. Subsidy for Events
    As a member, you may be eligible for subsidies for certain events, depending on your role (e.g., organizer or participant) and the costs associated with the event. Subsidy applications must be submitted and approved in advance, and all expenses must be documented with receipts.

  6. Membership Cancellation
    Membership can be canceled at any time by notifying the KTHOC board in writing. Please note that membership fees are non-refundable. If you choose to cancel your membership, it will not take effect until the following semester.

  7. Code of Conduct
    By becoming a member, you agree to respect the values and rules of the KTHOC. This includes adherence to KTH’s Code of Conduct and all event-specific behavior guidelines. The KTHOC board reserves the right to revoke membership if a member violates these standards.
